Compensation
$62,000 – $80,000 per year.
Final compensation may vary based on factors including education, relevant work experience, certifications, geographic location, and other job-related considerations. This position is also eligible for an annual discretionary bonus.
About the Role
This role is for a high-performing Executive Assistant who will provide direct support to the Senior Vice President of Payor Strategy and Contracting as well as key members of the leadership team. The position extends beyond traditional calendar support and includes travel coordination, meeting execution, project tracking, presentation preparation, vendor communication, and light program management.
This is a full-time remote position within the United States. The role requires strong judgment, professionalism, discretion, organization, and the ability to manage several priorities independently in a fast-paced environment.
What You’ll Do
- Calendar Management: Manage complex calendars for multiple leaders while balancing changing schedules, competing priorities, and time-sensitive commitments.
- Travel Coordination: Arrange domestic and international travel, including flights, hotels, drivers, passports, visas, and related logistics.
- Meeting Planning: Coordinate virtual and in-person offsite meetings, including identifying venues, negotiating hotel room blocks, reserving meeting space, arranging catering, and tracking RSVPs.
- Content Management: Send routine reminders for content updates, consolidate materials and input from stakeholders, and follow up on outstanding deadlines.
- Presentation Support: Draft, organize, and format PowerPoint presentations and visual materials for internal and external audiences.
- Project Tracking and Follow-Up: Attend meetings when needed, document action items, monitor progress, and follow up with stakeholders to maintain accountability.
- Program Support: Coordinate small internal programs, including KPI incentive tracking and related administrative activities.
- Technical Tools: Maintain trackers using Smartsheet and Excel and update or learn to support dashboards in Power BI.
- Vendor Coordination: Communicate with vendors, monitor deliverables, and maintain accurate and organized records.
- Ad Hoc Support: Handle confidential projects and additional administrative responsibilities as business needs arise.
Qualifications
- 5+ years of experience supporting VP-level or executive-level leaders in a fast-paced environment.
- Proven ability to manage complex scheduling, logistics, and executive communications with professionalism and discretion.
- Strong proficiency with Microsoft Office, including PowerPoint, Excel, and Outlook.
- Experience using Smartsheet and willingness to learn or provide support with Power BI.
- Exceptional written and verbal communication skills.
- Strong judgment, organization, and the ability to independently manage multiple priorities.
- Experience planning meetings and coordinating logistics across multiple departments.
- Willingness and ability to travel occasionally to support offsite meetings.
