Onboarding Specialist
Remote (United States)
Job Details
Employment Type: Full Time
Collaboration Hours: 10:00 AM–6:00 PM Eastern Time, Monday–Friday
Annual Salary: $65,000–$80,000 per year
About the Role
The Onboarding Specialist will own each client’s first 60 days from signed contract through full launch, early reporting, and a clean handoff to the ongoing account management team.
This role serves as the client’s first guide on the platform. The position includes taking the handoff from Sales, coordinating activation work with the Implementation team, collecting payment setup information for Accounting, training clients on the platform, supporting early reporting cycles, and ensuring each client becomes live, stable, and confident.
This is a foundational client success role with exposure to sales, activations, revenue management, and accounting. It offers a natural growth path into account executive, sales, revenue management, or long-term portfolio management roles.
What You’ll Do
Handoff & Discovery:
- Facilitate a smooth transition from the Account Executive into onboarding and help schedule the client onboarding call.
- Review contract terms with the client and make sure the billing process is clearly understood.
- Pre-fill and review the onboarding checklist with the client, identifying location-specific details that affect account setup, configuration, and activation.
Activation & Accounting Setup:
- Update location records using internal tools so the Activations team can begin opening new channels and accessing existing channels.
- Train clients on how to use the platform app, with a strong focus on reporting.
- Collect W-9 and ACH payment information from clients on behalf of the Accounting Department so billing can be set up without delay.
Early-Client Support & Handoff:
- Maintain close, proactive contact with new clients throughout their first 60 days on the platform.
- Conduct invoice reviews and help clients understand their reporting during the early stages of the relationship.
- Manage a smooth, well-documented handoff to the Strategic Account Manager and Revenue Optimization Manager once the client is fully onboarded and stable.
Qualifications
- 2+ years of experience in client onboarding, customer success, operations, or a similar client-facing role.
- Strong organizational skills, with the ability to manage multiple concurrent onboardings against firm timelines without missing important details.
- Clear communication skills, including comfort leading onboarding calls, building trust quickly with new clients, and explaining checklist or process details in plain language.
- Technical proficiency with Google Suite, including Sheets, Docs, and Drive.
- Ability to learn and adopt internally built tools used to track and manage onboarding milestones.
- Self-starter mentality with the ability to succeed in a fast-paced, remote, and results-oriented environment.
- Ability to identify improvement opportunities and follow them through to completion.
- Strong follow-through when go-live is at risk, including calling, texting, and tracking down the right person to remove roadblocks the same day.
Benefits
- Equity included as part of every offer.
- Fully remote work from anywhere in the United States.
- 10:00 AM-6:00 PM Eastern Time collaboration window, with flexibility to manage the rest of the workday independently.
- Health, dental, and vision coverage with employer contribution.
- Paid time off.
- Broad exposure to sales, activations, revenue management, and accounting in a small, cross-functional environment.
- Opportunity to own the client’s first 60 days and directly improve activation speed, onboarding quality, and company-wide results.
- Hands-on role with a clear growth path into account executive, sales, revenue management, or portfolio management opportunities.
