Schedule: Full Time, with availability during Eastern Time business hours
Compensation: $55,000 - $70,000 per year

This opportunity is for a detail-oriented and proactive Program and Operations Assistant to support a growing remote team. This role helps keep programs, processes, schedules, meetings, documents, and internal operations running smoothly. It is a strong fit for someone who is highly organized, comfortable supporting executives and stakeholders, and able to work effectively in a fast-paced, deadline-driven environment.
What You’ll Do
Scheduling
- Manage the schedule of the Executive Director and other executive team members.
- Coordinate meetings for team members, key consultants, and advisory bodies.
Meetings and Events
- Take meeting notes and track key follow-up items.
- Manage logistics for in-person and virtual meetings and events.
- Support travel planning for team members, including booking air travel and hotel accommodations.
- Support the submission of expense reports related to travel and meetings.
Internal and External Communication
- Support the onboarding of new vendors, consultants, and staff members.
- Communicate professionally with board members, advisory committee members, external partners, and stakeholders.
Operations
- Maintain organizational documents, including charters, organization charts, and related materials.
- Manage internal project management and tracking tools, including contact lists and tools used to track conferences, events, and accomplishments.
- Support the development and implementation of operational policies and procedures.
- Provide additional administrative support as needed.
Qualifications
- 3+ years of experience in an administrative or operations capacity.
- Experience in nonprofit, policy, or government environments required.
- Outstanding organizational skills and a strong track record of working independently while also supporting team projects and collaborative work.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency with Google Workspace, Microsoft Office, Zoom, and LinkedIn.
- Experience with Asana or similar project management tools.
- Ability to communicate professionally with a broad range of stakeholders, including senior-level professionals, national experts, policymakers with different political perspectives, people who have been incarcerated, and staff with corrections experience.
- Interest and/or experience, including lived expertise, in policy related to incarceration, corrections, public safety, and/or the role health care plays for people leaving incarceration.
- Ability to work in a fast-paced, deadline-driven, growth-oriented remote environment.
- Ability to travel occasionally for in-person staff meetings.
