Three years experience that demonstrates broad knowledge of administrative practices and principles. Skill to organize and coordinate multiple high visibility projects simultaneously. Skill to prepare documentation and presentations in proper format in accordance with naval correspondence rules of grammar and punctuation. Skill to operate a personal computer, and associated peripheral equipment and software. Knowledge of a variety of support functions such as gathering statistical data, monitoring and reporting on support budgets, assisting in developing financial plans; obligating funds, liquidating travel claims; maintaining stock of office supplies. Skill to deal with employees at various levels in the organization and to represent the division with customers external to the organization.The incumbent must be able to accommodate a flexible work schedule, to include weekend and evening briefs/programs. Must be able to travel in order to support MCCS functions. Must be able to obtain a government purchase credit card in order to initiate purchase requests for required equipment, supplies, and services with guidance from the MCCS Section Heads and staff. Must be familiar with Adobe and Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint. Multi-line phone experience preferred. Must complete USMC E-ITSM Remedy Software training in order to obtain administrative rights to MFR G-6 IT systems. Must complete training on all required software systems. Administratively supports the comprehensive, year-round programs and activities within the Marine Forces Reserve Marine Corps Community Services (MCCS) division. Coordinates and performs a wide variety of responsible administrative functions in support of management functions. Operates a personal computer and peripheral equipment to produce civilian and military correspondence, spreadsheets, charts, reports and graphs. Composes, edits, spell checks, and proofreads correspondence prior to Deputy Director/Director’s signatures. Creates Purchase Order Requests, requests for contracts, presentations, and equipment inventory lists using various software and database systems. Establishes and maintains official files and records in accordance with regulations. Establishes action status on numerous projects and program operations. Makes arrangements for meetings, conferences, and/or trainings and provides meeting agendas, directions, and other pertinent information to attendees. Coordinates travel and transportation schedules as directed. Receives, reviews, interprets, and follows directives, both written and verbal, in accordance with available guidelines and instructions. Advises staff on development and implementation of local administrative directives and procedures. Develops internal policies, procedures and work methods affecting administrative management operations. Ensures compliance by managers and supervisors by reviewing and revising studies, reports, correspondence for accuracy and format. Prepares correspondence and drafts instructions. Facilitates methods for automating reports and correspondence. Uses a personal computer to transmit correspondence, create reports, databases, spreadsheets, graphics, slide shows and presentations. Enforces and trains employees on proper naval correspondence rules and correct grammar, spelling, capitalization and punctuation. Receives telephone callers, visitors, complaints and outside contacts and directs them to appropriate contacts when necessary. Routes incoming mail to staff and work sections. Establishes suspense dates to collect responses and submits information as required by requests. Performs duties as the Information Systems Coordinator (ISC). Acts as the liaison for the staff to the MFR G-6 IT department. Assists the staff with their IT questions and challenges. Performs troubleshooting on minor IT issues and creates incident reports in Remedy in order to request support. Follows up on all requests to ensure that all IT issues are corrected. Reviews and submits all SAAR forms to the G-6 SAAR tracker. Tracks all SAARs to completion. Submits the requests in Remedy for new employee email accounts. Performs duties as the MCCS Website Administrator. Creates and maintains Website site pages for each department. Assists employees with the migration of data and conducts training on how to use the platform. Grants access as required. Performs duties as the Independent Duty Funds (IDF) Administrator. Tracks IDF on a unit-by-unit basis. Gathers and collates information from the MFR G-8 and MFR G-1 on troop strength, unit location, and other factors used to determine IDF allocations. Responds to inquiries from unit IDF Responsible Officers regarding IDF concerns. Collects, verifies, and files RO appointment letters and training certificates. Performs duties as the EPAS administrator. Assists MCCS employees with getting access to EPAS. Handles EPAS questions and concerns. Ensures that all employees have an account. Adds and removes employees as needed. Certifies MCCS accounts when required by MFR G-1. Performs duties as the CMR Representative for MCCS. Tracks the following assets: computers, printers, peripherals, audio/visual equipment, government issued phones and Air cards. Inventories all equipment IAW policy. Manages new computer tech refreshes. Executes the DRMO process which includes degaussing information from hard drives. Disposes of ink cartridges according to EPA regulations. Orders equipment and peripherals through the ITPPRAS process. Maintains all unassigned computers and laptops on an ongoing basis to ensure virus definitions are up-to-date and accessible to the network domain. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required.
