Position Overview
The Plan Document Specialist plays a critical role in ensuring the accuracy, compliance, and timely completion of legal retirement plan documents. This position oversees the onboarding of new plans, manages document service workflows, and serves as a key liaison for internal and external clients. Success in this role requires strong communication, organization, and technical expertise in retirement plan administration, particularly under IRS, ERISA, and Department of Labor guidelines.
Primary Responsibilities
- Draft and amend plan documents for new and existing qualified retirement plans, including adoption agreements, plan amendments, loan policies, Summary Plan Descriptions (SPDs), and Summaries of Material Modifications (SMMs) for 401(k), 401(a), 403(b), 457(b), Pooled Employer Plans (PEPs), and Multiple Employer Plans (MEPs).
- Prepare plan review outlines and recommend plan design or administrative changes that can simplify administration and reduce design complexity for clients.
- Oversee plan installations and conversions, including intake review, data validation, and document preparation.
- Ensure plan documents comply with current IRS, ERISA, and Department of Labor regulations as well as internal service standards.
- Complete assigned projects and document requests within established service timeframes for start-up plans, takeover plans, amendments, and restatements.
- Serve as a subject matter resource for plan design and compliance matters and escalate complex issues to leadership when appropriate.
- Support the sales team and consultants during pre-sale and post-sale activities by providing plan-related documentation.
- Perform peer reviews of plan documents and, based on experience and business needs, assist with team training and coverage.
- Track and update project status in workflow systems such as PensionPro, FT Williams, and Pipeline.
- Evaluate current processes and recommend improvements that enhance service delivery and operational efficiency.
- Archive client correspondence and documentation in accordance with established firm practices.
- Participate in team meetings, training sessions, compliance projects, and organization-wide initiatives.
- Maintain current technical knowledge through webinars, certifications, and other professional development opportunities.
Client & Team Interaction
- Serve as a primary point of contact for internal clients and respond to inquiries through Microsoft Teams, email, or phone.
- Collaborate with Account Managers, the New Business Team, and leadership to support a smooth and compliant onboarding experience.
- Promote client satisfaction through proactive communication, clear expectations, and consistent, high-quality service.
- Escalate client concerns to the Team Lead, Director, or Partner when necessary for resolution.
Requirements
Technical Experience
- Strong working knowledge of IRS and Department of Labor rules and regulations applicable to retirement plans.
- Experience drafting pre-approved and custom plan documents using web-based vendor platforms.
- Ability to manage legislative restatements and document updates that are subject to IRS deadlines.
- Experience with Pooled Employer Plans (PEPs) is a plus.
- Experience with the Self-Correction Program (SCP) and Voluntary Correction Program (VCP) under the Employee Plans Compliance Resolution System (EPCRS) is a plus.
