About the Role
The Talent Acquisition Coordinator manages day-to-day recruiting coordination and people administration from approved job posting through accepted offer and onboarding handoff. The role supports application review, candidate communication, interview scheduling, sourcing activities, recruiting pipeline management, offer preparation, onboarding, offboarding administration, and accurate maintenance of hiring records while keeping candidates, hiring managers, and required next steps moving on schedule.
This position works closely with hiring managers and leadership while using Breezy HR, Gusto, HubSpot, Google Workspace, Slack, and Zoom. The role also supports multi-state hiring and employee administration, maintains confidential candidate and employee information, and follows approved processes for screening, employment documentation, state requirements, and hiring decisions. HR strategy, compensation decisions, performance management, investigations, employment-law advice, and sensitive employee decisions remain with leadership or designated experts.
What You'll Do
- Coordinate approved recruiting searches across departments from job-posting preparation through accepted offer and onboarding handoff.
- Collect approved job descriptions, screening criteria, interview materials, and owner information, and flag missing decisions before a search moves forward.
- Support candidate sourcing through approved job boards, referrals, prospect research, and templated outreach while maintaining organized candidate lists and source records.
- Review applications against approved minimum requirements, coordinate screens and interviews where applicable, collect reviewer feedback, follow up on overdue next steps, and escalate borderline decisions to the hiring manager.
- Manage inbound candidate inquiries, expressions of interest, and referrals; capture candidate information in Breezy HR and route individuals to the appropriate search or talent pool.
- Provide candidates with clear expectations and timely communication, including updates within two business days after a hiring decision.
- Coordinate onboarding paperwork, welcome communications, Day 1 readiness checklists, and scheduled 30/60/90-day check-ins using manager-approved plans.
- Manage administrative offboarding activities using leadership-approved plans, including paperwork, equipment returns, access-removal requests, payroll and benefits handoffs, deadline tracking, and completion confirmation.
- Maintain recruiting, onboarding, and offboarding checklists and records while leaving termination decisions and sensitive employee conversations with leadership.
- Schedule hiring-manager discussions, follow up on required feedback, and route coaching, performance, and employee-relations matters to the designated owner.
- Review recruiting pipelines for stalled candidates and missing feedback, identify the appropriate owner and next action, and follow through until the issue is resolved or escalated.
- Answer routine candidate and new-hire logistics questions using approved information and route questions involving policy, compensation, or sensitive employee matters to the appropriate owner.
- Protect confidential candidate and employee information and promptly escalate sensitive concerns without conducting workplace investigations or providing independent employment-law advice.
- Prepare offer and onboarding information using approved terms, verify completeness, and coordinate signature and handoff steps while leadership retains hiring, compensation, and policy decisions.
- Keep Breezy HR records current, track hiring handoffs in HubSpot, organize documents in Google Drive, and coordinate authorized Gusto updates.
- Provide weekly reporting on active candidates, pipeline stage aging, upcoming interviews, and blocked next steps.
- Support general internal administrative activities and day-to-day business operations as needed.
Qualifications
Required Experience
- 3+ years of hands-on recruiting coordination, talent acquisition administration, or substantial administrative hiring support experience.
- Demonstrated experience coordinating multiple candidates or schedules simultaneously while maintaining accurate records and timely communication.
- Experience following documented screening criteria, collecting hiring feedback, and escalating decisions that fall outside assigned authority.
- Experience supporting candidate research, job-board administration, referrals, or approved outreach; independent full-cycle sourcing ownership is not required.
- Ability to manage onboarding and offboarding paperwork, checklists, confidential records, and cross-functional handoffs.
- Hands-on experience hiring and onboarding employees across multiple U.S. states.
- Experience using an ATS or comparable recruiting tracker, shared calendars, documents, and spreadsheets.
Required Skills
- Proficiency with Gusto and the ability to support offers, onboarding, employee records, and payroll-related handoffs.
- Practical understanding of multi-state HR and legal requirements, including state registrations and filings, workers' compensation coverage, and state unemployment insurance requirements.
- Ability to handle candidate and employee information confidentially and consistently follow approved procedures.
- Strong recruiting coordination skills, including interview scheduling, candidate follow-up, application review, pipeline tracking, and hiring-manager follow-through.
- Ability to maintain accurate ATS records, organized checklists, dependable documentation, and clear written communication.
- Strong project management, direct communication, discretion, and organizational discipline in a fast-moving environment.
- Ability to identify stalled recruiting steps, missing feedback, and unresolved ownership issues and follow through until completion or escalation.
Preferred Qualifications
- Prior employee-lifecycle administration experience.
- Experience with Breezy HR, HubSpot, and Google Workspace.
- Experience working in a fast-paced, distributed organization.
A college degree or HR certification is not required. Relevant practical experience is valued.
